Information we collect about you

We collect information from you from the start of our interaction with you when:

  • Apply and book with us
  • Manage the arrangements for your travel experience
  • Communicate with our team on the ground in South Africa
  • Subscribe to our newsletter
  • Provide feedback including complaints

Information collected includes personal details, contact information, medical background/issues/requirements, dietary requirements, declaration of any criminal convictions, motivation and background for Educational, Wildlife and Conservation and Volunteering experiences.

How will we use the information about you?

We use your personal information and details to complete your booking with us, manage the arrangements for your tour or volunteer placement, seek feedback, send you notifications and communicate with you generally.

We do not store customers’ credit or debit card information.

To arrange your tour/volunteer placement, we will need to share some of your information with our overseas staff and partner organisations who are the providers of the services making up your arrangements. These are mostly in South Africa.

We would also like to store and use your personal details for future marketing purposes, email updates/newsletters. If you have consented to receive marketing, we will only use your name and email address for marketing purposes. We will never sell your personal details to third parties for the purpose of marketing.

You can opt-out of receiving further information from us at any time. You will be given a fast and easy option of opting out on all newsletters. If you no longer wish to be contacted for marketing purposes, please let us know by contacting us

We review our retention periods for personal information on a regular basis. We keep client information after you have completed your tour/volunteer placement so we can keep in touch and continue to support you. Medical references and Criminal record checks are deleted periodically.

Access to your information and correction

You have the right to request a copy of the information that we hold about you. If you would like a copy of some or all of your personal information, please contact us. We may make a small charge for this to cover the administration costs of providing you with these details.

We want to make sure that your personal information is accurate and up to date. You may ask us to correct or remove information you think is inaccurate.

Protecting your information

We take website security very seriously and we are committed to safeguarding your personal information. We take a number of technical and operational steps to ensure the security of the information you provide to us. Outside the EEA, controls on data protection may not be as wide as the legal requirements in this country. The transmission of information via the internet is never completely secure.
